The County of Stettler has an exciting opportunity, for someone willing to bring innovative and effective legislative assistant skills to our team. As an assistant to Administration you are a highly organized, excellent communicator and a pro-active individual who thrives in a fast-paced, ever-changing political environment. You are a team player and work well and enthusiastically with a wide variety of public and all levels of municipal government and officials. You are resourceful, a self-starter with a customer-orientated mind-set.
Your mandate will involve artfully and thoughtfully managing numerous projects, programs and activities with a high level of professionalism, collaboration and confidentiality.
The successful applicant will assist with all general office duties for the County of Stettler including having a turn in the rotation assisting with phones and front desk traffic at the Administration Building, as well as assisting with payments and walk-in traffic as required. In addition, the Legislative Assistant will:
Act as a liaison organizing and managing priorities, business meetings and activities
Answer and respond to incoming correspondence, inquiries and phone calls with tact and diplomacy
Organize meetings, training session, schedules and reservations
Manage and prioritize calendar scheduling, travel arrangements, email requests
Process a variety of materials from draft format, and professionally compose letters, briefs, memos, reports and submissions for government using Microsoft Word, PowerPoint, Excel and Outlook
Be available outside of normal working hours to provide support for external meetings and engagement events on occasion
Manage special projects as required
Skills should include but are not limited to:
Precise and effective writing skills, editing skills and ability to plan and prepare materials for presentation
Strong interpersonal skills and an ability to communicate professionally both verbally and in written communications
Resourceful with the ability to prioritize, multitask, meet deadlines with minimal supervision
Willingness to work in a role that requires a high degree of flexibility in terms of rapidly changing priorities
Excellent organizational skills with the ability to pay close attention to detail while under deadline
Ability to exercise initiative in adapting procedures to address unusual problems and requests
Highly organized archiving skills
Previous exposure to administrative support responsibilities
Post Secondary degree or diploma
Legal Secretarial Program, Office Administration Program, Political Studies or equivalent an asset
Hours: Monday – Friday, 8:30 a.m. to 4:30 p.m. (35 hours/week)
This position is currently a 6-month temporary position, with the possibility of extension to full time.
